Information we collect
When you submit an enquiry, we receive information you choose to provide, such as your name, email address, telephone number, company name, service preference and message. We may also record the submission time and acknowledgement of this notice. Our web host may process standard technical logs, including IP addresses, browser information and requests, for delivery, security and troubleshooting. When we provide services to a client, additional business information or authorised project data may be processed under the relevant agreement.
Why we use information
We use enquiry details to respond to you, assess requirements, provide estimates, communicate about proposed or agreed services, prevent misuse of the contact form and maintain necessary business records. We use information only where there is an appropriate legal basis under applicable law, such as taking steps at your request before a contract, fulfilling an agreement, legitimate business purposes where permitted, or consent when required. A service enquiry does not automatically subscribe you to promotional marketing.
Where information is stored and shared
Our website uses Hostinger for hosting. At present, our enquiry forms prepare an email in your own email application; the website itself does not automatically submit enquiries to a form delivery provider or Google Sheets. Your email is received only if you choose to send it from your email application. Information in the email will be processed through your chosen email service and our email provider so that we can respond. Relevant hosting, email and cloud providers may process information as part of providing those services. We may share information with team members and contractors who need it to respond or deliver authorised work, and when required by law. We do not sell website enquiry information.
Storage and security
We take reasonable steps to protect information against unauthorised access, alteration, misuse and loss, including restricting access to enquiry records to people handling the relevant work and using protected account access where available. No website, email or cloud system can be guaranteed completely secure. Please do not send passwords, payment-card details, government identification numbers, medical information or other highly sensitive records through the public enquiry form.
Retention
We keep enquiries while they are needed to respond, consider a prospective engagement, maintain relevant correspondence and meet any applicable record-keeping obligations. We review information periodically and delete or anonymise it when it is no longer reasonably needed, unless a legal obligation or active dispute requires retention. Retention for customer project data is determined by the nature of the engagement and any applicable client agreement.
Your choices and requests
You may ask about the information we hold about you, seek correction of inaccurate details, request deletion, withdraw consent where processing is based on consent, or raise a privacy concern. Write to northloopdigitalmedia@gmail.com with enough detail to identify your request. We may need to verify your identity and may retain information where law or a legitimate contractual obligation requires it. Where applicable, you may also have rights to object, restrict processing, receive a copy of your data or complain to the relevant supervisory authority.

Because we operate in India, serve international clients and may use global cloud and communications providers, information can be accessed or processed in India or in other countries where providers operate. Privacy safeguards and legal protections can vary by location. For client datasets involving restricted transfers, we will discuss applicable contractual and transfer requirements before processing the data. Depending on the circumstances, laws in India, the European Economic Area, the United Kingdom, Canada or other jurisdictions may apply.
